Privacy Policy
Your privacy matters to us. This policy is written in plain language so you can see exactly what we collect and why.
1. Who We Are
Foxhole IT Solutions is the trade name of Gulf Tech Solutions LLC, a veteran-owned mobile and remote IT repair, support and website design business based in Clearwater, Florida. This policy explains what personal information we collect through this website and in the course of providing service, how we use it, and the choices you have. In this policy, "we," "us" and "our" mean Foxhole IT Solutions.
This policy covers the website at foxholeitsolutions.com. It works together with our Policies & Procedures, which govern how we handle your devices and data when we perform a service (see Section 9 of that document, "Data, Backups & Privacy").
2. Information We Collect
Information you give us
- Contact and quote forms: your name, phone number, email address, the device or project you need help with, the service type you choose, and the message you write.
- Calls, texts and emails: your phone number and the content of what you send us.
- Service records: when you book a service, we keep the details described in our Policies & Procedures, such as your name, contact details, device information, the work order, estimates, invoices and service history.
- Photos and video: photos or video of your device taken at intake, during the work and at completion, and video without audio during recorded visits, as described in Section 14 of our Policies & Procedures.
Information collected automatically
Like most websites, our hosting provider receives standard technical information when your browser loads a page, such as your IP address, browser type, device type, pages requested, and date and time. We do not run advertising or behavioral tracking on this site. If you click Accept on our cookie notice, we also use Google Analytics to measure visits (pages viewed, time on page, device and browser type, approximate location and how you arrived). Without your consent, analytics does not run, and we store only one small item in your browser (your cookie choice). See our Cookie Policy.
Information we do not collect through this website
We do not ask you to enter passwords, payment card numbers, bank account numbers, Social Security numbers or other government ID numbers into any form on this website. Please do not send them to us by form, text or email.
3. How We Use Information
- To respond to your request, give you a quote, and schedule service.
- To perform, bill and document the service you ask for, including sending estimates and invoices by text or email.
- To provide warranty service and customer support.
- To keep records required by law, including tax and accounting records.
- To protect our business, technicians and clients, prevent fraud, and enforce our policies.
- To operate, secure and improve this website, including aggregate analytics if you consent.
- To contact you about your request.
- To send you promotional emails, and promotional text messages only if you opt in to them (see Section 5). We never sell or rent your information.
4. How We Share Information
We do not sell your personal information. We share it only with the service providers that help us run the business, only as much as needed, and where the law requires:
| Provider | Purpose |
|---|---|
| Web3Forms | Delivers the contact and quote form submissions to our email inbox. |
| Netlify | Hosts this website and keeps standard server logs. |
| Square | Sends invoices and processes card payments. Square handles your card details; we do not store full card numbers. |
| Google Analytics | Provides site statistics, only if you accept analytics cookies. Advertising features and data sharing for ads are off. |
| Google (Fonts and Reviews) and Featurable | Load page fonts and display customer reviews from our Google Business Profile. |
| Google (Sheets) | Stores our private contact list, including your promotion choices and consent record. |
| Cloudflare cdnjs | Delivers the icon font used on this site. |
| Scheduling, email, text and cloud storage tools | Used to schedule appointments and communicate with you. |
We may also disclose information if required by law, court order or other legal process; to protect the rights, property or safety of our clients, technicians or the public; or in connection with a sale or transfer of the business, in which case the information stays subject to this policy.
5. Calls, Texts, Email and Promotions
About your request. When you give us your phone number or email on a form, you agree that we may call, text or email you about your request, quote, appointment or service. This is not marketing. Message and data rates from your carrier may apply. Please do not send sensitive information such as passwords by text or email.
Promotional email. Our forms include a box, checked by default, to receive occasional promotions and tech tips by email. Uncheck it and we will not add you to promotional email. Every promotional email includes an unsubscribe link and our business contact information, and we honor unsubscribe requests promptly.
Promotional text messages. We send promotional text messages only to people who check the separate, unchecked text-message box on our forms. By checking it you agree to receive promotions and offers from Foxhole IT Solutions by text at the number you gave us. Consent is not a condition of buying anything. Message frequency varies and we do not send more than a few promotional messages per month. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. We keep a record of your consent, including the date and time, the form you used and the wording you agreed to. We send promotional texts only between 8 AM and 8 PM Eastern time. We do not share your phone number with third parties for their own marketing, and opting in to texts does not change how we contact you about an active service.
Your contact list. Name, phone number, email address, your choices about promotions and your consent record are saved in a private Google Sheet that only we can access.
6. Your Devices and Customer Data
Technicians access your data only as needed to diagnose and complete the requested work and do not copy it unless you authorize it for a specific service. Copies made for recovery, transfer or backup are deleted when the work is done unless you ask us in writing to store them and agree to the storage terms. We do not record or keep your passwords or passcodes, and we do not handle regulated data such as health records or payment card data. The full rules are in Section 9 of the Policies & Procedures.
7. How Long We Keep Information
- Form submissions and email: kept only as long as needed to respond to you and to document the service.
- Service, invoice and tax records: kept as required by Florida and federal record-keeping rules.
- Device photos and video: kept at least 90 days after service completion, then deleted as described in our Policies & Procedures.
- Browser storage: stays on your device until you clear it.
8. Security
We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS) for this website and access controls on our business accounts. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify affected individuals and authorities as Florida law requires.
9. Your Choices and Rights
- Access, correction and deletion: you may ask what personal information we hold about you, ask us to correct it, or ask us to delete it. We will respond within a reasonable time, and may need to keep some records to meet legal obligations or resolve disputes.
- Opt out of promotions: reply STOP to any promotional text, use the unsubscribe link in any promotional email, or tell us directly, and we will stop. We will still contact you about a service in progress or an invoice.
- Cookies and storage: use the Cookie Settings link in the footer, or your browser settings.
- Do Not Track and Global Privacy Control: we do not track you across other websites or sell or share personal information for advertising, so these signals do not change how this site works.
To make a request, email tyler@foxholeitsolutions.com or call (727) 218-7927. We may need to verify your identity first.
Florida and other states. We are a small local business and do not meet the thresholds of comprehensive state privacy laws, but we honor reasonable requests as described above regardless.
10. Children
This website and our services are not directed to children under 13, and we do not knowingly collect personal information from them through this website. If you believe a child has sent us personal information, contact us and we will delete it. A parent or guardian must authorize service on a minor's device.
11. Links to Other Sites
This website links to third-party sites such as Instagram, YouTube, Yelp and Google. We do not control those sites and are not responsible for their privacy practices. Read their policies before sharing information.
12. Changes to This Policy
We may update this policy from time to time. The "Last updated" date at the top shows when it last changed. Continued use of the website after an update means you accept the revised policy.
